We are looking for an individual to fill the role as Administrative Assistant. There are many duties to this dynamic and all-encompassing position including:
The main focus for this position is “Front Lines”. You will become the first point of contact for all clients and visitors to the firm. Located at reception, you will be responsible for answering all incoming calls, checking voicemails, and receiving all guests in a courteous and professional manner. You will be responsible for maintaining and communicating the daily attendance records as well as processing mail and couriers.
Administration / Office Services:
This role is responsible for maintaining and the procurement of office supplies and equipment. You will be responsible for checking inventory levels and ordering of approved supplies as needed. You will work alongside the Administrator and Legal Administrative Assistants, requesting and following up on records requests, including sending and retrieving files from our off-site records facility. Maintaining other firm resources such as library books, the database of contacts, and file lists are also key components to this role.
Facilities / Hospitality:
This role will be responsible for setting up for meetings and special events. This will include maintaining the boardroom schedules, coordinating catering as required, preparing beverages and the following clean-up. As the main point of contact, you will also be responsible in scheduling facilities maintenance and repairs.
Who you are:
You have a minimum of 1 year experience in an office environment or customer service
You have recently completed a post-secondary qualification (preferred)
You are able to work individually as well as within a team
You have a knack for prioritizing while meeting key deadlines
You are reliable, efficient, and well-organized

Preference will be given to those who have professional services experience
