The File Opening Clerk requires adherence to confidentiality with respect to all client information. The File Opening Clerk is responsible for ensuring client files are opened with great care and attention to firm policy and the Law Society of BC requirements. This position requires close attention to detail, and the use of discretion when deciphering client information.

Responsibilities:

General

  • Completes conflict checks on all prospective clients, querying results to ensure compliance with firm policy and the Law Society of BC requirements
  • Opens new client matters in accounting software, ensuring all required information is complete and accurate by collaborating with the legal team
  • Administers firm’s Client ID process, ensuring compliance with firm policy and the Law Society of BC requirements
  • Assists CEO and legal team with Client Verification process
  • Maintains confidentiality and security of client information
  • Conducts file closing in collaboration with the legal team and other admin team members
  • Works with the CEO for any RL/OL updates in accounting software
  • Maintains client contact details in accounting software
  • Maintains ethical wall tracker at the direction of the Director, Admin+HR

Other

  • Performs other administrative duties as required to assist the admin team
  • Provides backup Reception relief

Qualifications:

  • A minimum of one year of related office work experience
  • Experience working in a legal or accounting environment required
  • Completion of a Bachelor’s Degree, Diploma or Certificate in business administration or legal administration
  • Experience working with and knowledge of Microsoft Office (Word, Excel, PowerPoint & Outlook)
  • Experience working with and knowledge of Microsoft Teams and Zoom technology
  • Experience working with a document management system an asset
  • Experience working with cloud based accounting software an asset
  • Computer savvy with an ability to learn various computer programs quickly
  • Strong written and verbal communication skills
  • Team oriented approach to working
