Position Description:

We are seeking a 3 to 4 days per week (21 to 28 hours per week) experienced Payroll and Benefits Administrator to add to our Vancouver HR Team. You will report to the Manager of Human Resources and the Director of Human Resources.

Key Responsibilities:

  1. Administration of payroll for 170 staff and lawyers, including quarterly partner draws, for semi-monthly payroll (ADP Workforce Now); produce payroll and HR reports following each pay cycle including but not limited to demographics, stats, reports from benefit providers and leave reports
  2. Reconcile payroll and benefits for Accounting, for payment processing
  3. Conduct orientation meetings with lawyers and support staff hires including signing up new staff and lawyers on all benefits
  4. Administration of benefits for staff and lawyers, including but not limited to: RBC, Sun Life and others, including but not limited to: Long Term disability, Short-Term disability, RRSP (staff), Extended Health and Dental plans, Employment Assistance Program and Optional Critical Illness plan
  5. Manage all aspects of Firm’s benefit programs including enrollment, changes and terminations for all eligible members and, setup on payroll as required
  6. Communicate all benefit changes, e.g. rate increases and enhancements to any benefits, to all Firm members
  7. RRSP (staff) - oversee the plan from enrolment, changes to termination and setup of contributions via payroll
  8. Update/enter employee’s education subsidy, employee referral fees and fitness/transit subsidy reimbursements through payroll
  9. Prepare salary, bonus, benefits and service awards budgets for HR Manager/Director
  10. Answer queries and assist lawyers and support staff with various benefit and payroll inquiries and implement any changes
  11. Year-end processing including T-4’s, T4A’s and T2200s for CRA and ADP
  12. Prepare final pay and exit documentation for departing employees (terminations, resignations, maternity and parental leaves) and Record of Employment forms, as required
  13. Conduct exit interviews
  14. Update HRIS and ADP systems with information for new and current employees
  15. Providing general support to HR
  16. Other duties associated to HR, as needed

Qualifications and Skills:

  • 6 – 8  years+ of full-cycle Canadian payroll and benefits administration experience
  • Post-secondary education in accounting, finance, or a related field
  • Experience using payroll software, time and attendance systems, and HRIS systems
  • Advanced Excel skills
  • Payroll Compliance Practitioner (PCP) designation an asset
  • Experience with ADP Workforce Now an asset, (although we are contemplating a conversion)
  • Strong organizational and attention to detail skills
  • Maintain utmost confidentiality
  • Must possess the ability to prioritize, multi-task, and meet deadlines
  • Must possess the ability to think of their feet and change directions split second
  • Strong understanding of Canadian payroll legislation and regulations (employment standards, taxation, WCB, EI, benefits).
  • Successful candidate must possess excellent verbal and written communication skills
  • Knowledge and experience in handling benefit and GL reconciliations
  • Must be able to work independently, with limited supervision at times
  • Must be team and service minded
  • Strong customer service skills required, with an ability to build and maintain collaborative relationships
  • Must possess strong analytical skills, with an acute ability to detect errors and take corrective actions as required
  • Criminal and Financial Credit checks required
  • This is an IN-person position that requires the individual to be in the office.
  • Law firm and/or professional services experience an asset
