McEwan Partners is a boutique commercial litigation firm in Downtown Vancouver founded by a group of industry-recognized litigators. Our practice is primarily in commercial, securities and public law, at both the trial and appellate levels.
We are seeking an Office Support Coordinator to provide day-to-day operational support and  work closely with the Director of Finance & Operations.
As a busy, high-performance firm, this is a hands-on role that directly supports users in their daily work. It is well suited to a mature, self-directed professional who takes ownership of their responsibilities, anticipates needs, and approaches challenges with a practical, problem-solving mindset.
This role offers the opportunity to build long-term stability within the firm as a trusted and reliable contributor to a collaborative, service-oriented team. With the firm’s planned move into a significantly larger office in 2026, this position will play an important role in supporting the transition, assisting with move coordination, and helping to shape evolving office responsibilities, processes, and workflows.
Responsibilities
- Provides day-to-day oversight of office operations to ensure a professional, efficient, and well-functioning workplace
- Maintains front-of-house operations and client-facing standards; steps in to provide reception coverage as required
- Ensures a consistently positive experience for clients and visitors through proactive space readiness and service delivery
- Manages general inquiries and information flow across the firm
- Oversees boardroom scheduling, readiness, and supports meeting technology, including conference calls and videoconferencing
- Responsible for mail, couriers, deliveries, and external storage processes, including tracking and vendor liaison
- Serves as the primary contact with building management for access cards, facilities, and general office matters
- Maintains and updates internal manuals, procedures, and office documentation
- Oversees office, kitchen, and copy room supplies, inventory levels, and vendor relationships
- Tracks attendance and reconciles vacation and sick time records related to reception coverage
- Provides office services and administrative support to legal assistants, lawyers and management as needed
- Supports client intake processes, including file openings/closings and management of inquiry emails and follow-ups
- Assists with ad-hoc requests from the Director of Finance & Operations and others as needed
 Skills & Qualifications
- High school diploma or equivalent
- Minimum 3+ years experience in a professional environment
- Proficient with Microsoft Office products
- Familiarity with iManage, Soluno, or other legal practice management tools (an asset)
- Proactive and resourceful, with strong technical capability and adaptable people skills
Reporting
- Reports to the Director of Finance & Operations
Compensation
- McEwan Partners offers a top-of-market compensation and benefits package, as well as a diverse and supportive work environment
- The base annual salary range for candidates with the required experience is $60K to $67K
