Principal Duties and Responsibilities:
Reception Duties
• Answer all incoming calls;
• Greet clients;
• Empty / load dishwasher each day;
• Check mail daily;
• Tidy boardrooms up throughout the day;
• Arrange catering for all client/office general meetings;
• Schedule maintenance for office;
• Create reception lunch coverage calendar;
• Arrange couriers (Novex, Fedex);
• Schedule photocopier maintenance when needed.
Office Services Duties
• Check supplies and restock when necessary;
• Keep supply room clean;
• Keep firm library up to date;
• Send out mail daily;
• Check kitchen and drinks supplies and order necessary;
• Help organize firm events (i.e. Christmas party, summer event);
• Setup Zoom meetings, Teams meetings.
Legal Support
• Post time entries;
• Billing for lawyers and assist other lawyers on their billings when needed;
• Create new buckets and file folders for all new files and assist with opening new files;
• Assist legal assistants when needed.
Accounting
• WIP Write Offs;
• Send new weekly email to lawyers “New Files opened in the previous week”;
• Prepare cash receipts for credit card, e-transfers and cheques.
Knowledge, Qualities & Experience Required:
• 1-2 years’ experience in a law firm preferred;
• Proficient in MS Office (Word, Excel, Outlook), and Adobe;
• Resourceful, able to work independently to research answers;
• Excellent organizational and time management abilities required to prioritize a high volume of tasks or competing priorities;
• Work well under pressure in a fast-paced environment;
• Able to work well independently and as part of a team;
• Adaptable and flexible to handle changing priorities;
• Strong learning ability;
• Dedicated to providing service beyond expectations;
• Excellent communication and interpersonal skills;
• Proven problem-solving skills with the ability to visualize and deliver creative solutions;
• Flexible to work overtime as needed.
