We are currently recruiting for an HR & PD Assistant with at least 2 years of experience in a human resources or recruitment role. The HR & PD Assistant offers confidential administrative support to the human resources (HR) and professional development (PD) teams. The HR & PD Assistant is required to use discretion and tact, as well as strong communication skills when working with both the internal team and external contacts or applicants. The incumbent also requires strong technological skills with a proficiency for learning new software.
This is a permanent and full-time position, hours will be Monday through Friday, 8:30am to 4:30pm. Responsibilities:
Human Resources team support
- Assists with full cycle staff recruitment including conducting resume and phone screenings, scheduling interviews, conducting reference checks
- Supports onboarding and training initiatives for new hires; coordinating and tracking various activities
- Assists in planning and executing internal events (celebrations, engagement & team events)
- Coordinates team meetings and assists with review processes
- Tracks staff time off and attendance
- Arranges coverage for staff absences with the direction of the HR Manager
- Supports the HR team with identifying and coordinating training needs
- Supports the HR team with wellness and engagement initiatives
- Maintains confidential employee personal information and other HR records
- Supports Director, Admin+HR and HR Manager as needed
Professional Development Team support
- Assists with the administration of the student recruitment cycle: supports internal and external recruitment events, prepares and circulates job postings, tracks engagement, organizes applications, coordinates interviews, etc.
- Prioritizes student recruitment from August to October annually
- Provides administrative support for RG’s summer and articling student programs, including orientation, training, assessment, and licensing
- Provides administrative support for RG’s in-house continuing professional development, annual action plan, and mentorship programs for lawyers
- Provides general admin support
General:
- Provides reception relief coverage
- Assists with setting up or taking down various team events
- Assists with any related firm projects as needed
Qualifications:
- Undergraduate degree in human resources, business administration, or equivalent combination of education and experience.
- A minimum of 2 years of experience working in a human resources or recruitment capacity
- Experience in a law firm environment an asset
- Proficient with various programs including the Microsoft Office Suite, with knowledge of more advanced Microsoft apps is considered an asset (SharePoint, Power Automate, etc.).
- Experience with and knowledge of human resources information systems (HRIS) and/or, applicant tracking is required.
- Experience with and knowledge of document management systems is considered an asset.
