Job Summary:

UFV invites applications for a permanent part-time (.5) exempt position of Administrative Assistant, Legal Counsel. * Possibility to increase in FTE to (.6), based upon budgetary review.*

The Administrative Assistant, Legal Counsel provides confidential administrative support to General Counsel and Legal Counsel and assists with the effective and efficient operation of the office. The incumbent handles confidential materials and researches and responds to sensitive situations, ensuring a high level of diplomacy and tact while working under pressure with time constraints.

The Administrative Assistant provides confidential support to meetings which includes taking meeting notes, oversees logistics, prepares materials and ensures follow-up on action items. The role handles all matters pertaining to Counsel’s calendar, coordinates meetings with internal and external partners, and ensures that Counsel is aware of, and prepared for meetings. This includes obtaining additional information where necessary to ensure comprehensive legal/meeting documentation is prepared in a timely manner.

Qualifications:

  • Two (2) year related diploma from a recognized post-secondary institution.
  • A minimum of three (3) years of office administration experience, preferably in progressively senior roles.  Experience in a post-secondary institution, law firm and/or in-house legal department is preferred.
  • Superior interpersonal and written communication, time management, and organizational skills.
  • Proven ability to work independently and as part of a team and meet multiple deadlines with a high degree of accuracy and attention to detail.
  • Excellent knowledge of office practices and procedures; advanced knowledge of various software applications, including Microsoft Office, Outlook calendar/mail, and Adobe.
  • Demonstrated excellent minute taking skills; self-directed, proactive, and able to exercise discretion.
  • Knowledge and understanding of post-secondary policies and procedures.
  • Analytical thinker with detailed research proficiencies.
  • Ability to understand and interpret legal documents.
  • Systematic knowledge of databases and tracking systems.
  • Excellent organizational skills, attention to detail and superior skills in writing reviewing and editing correspondence.
  • Demonstrated understanding of, and commitment to, integrating the principles or equity, justice, non-discrimination and accessibility into practice, service delivery and team relationships.
