A Day In The Life
The Human Resources Administrator is responsible for HRIS management, payroll and benefits administration, general HR database maintenance, and reporting. This role requires proficiency in HRIS management, excellent communication skills, and a thorough understanding of HR payroll practices and compliance. Reporting to the Director of Human Resources, the Human Resources Administrator plays a crucial role in supporting efficient HR workflows and delivering an exceptional employee experience.
Primary responsibilities include but are not limited to:
Payroll & Benefits:
- Manage payroll processes, enter payroll information in the HRIS
- Provide enrollment support into the group benefit plan for new staff and partners
- Coordinate the annual benefit re-enrollment process and handle inquiries related to benefits and RRSP
- Manage payroll and benefit changes, including the administration of the Disability and Return to Work programs
- Maintain and audit data in the HRIS and assist during the payroll audit
- Coordinate the offboarding process, including documentation, benefits adjustments, and exit interviews
- Track and process bonus forms, educational and fitness reimbursements
- Prepare documentation for retirements and changes in benefits coverage for employees
- Communicate with insurance companies and benefit administrators for claims and coverage inquiries
Compensation & Budget Management:
- Manage the salary administration timeline, maintain master salary spreadsheets, and process all related communications
- Support the budget process by creating spreadsheets and assisting with financial tracking
- Track spending against the budget
Reporting:
- Provide regular and ad hoc reporting on employee demographic, recruitment and terminations, compensation and other relevant topics
- Prepare an employee dashboard for key HR metrics
Administrative Support:
- Maintain documentation, including employee records, policy updates, and HRIS data management
- Manage key HR calendar dates, including benefits enrollment deadlines
- Handle employment paperwork, benefits enrollments, and expense claims
- Assist with the maintenance and updating of HR policies and respond to general inquiries
- Maintain strict confidentiality and compliance with applicable laws and firm policies
Additional Projects & Responsibilities:
- Review and act on HR inbox inquiries
- Provide administrative support for HR projects and initiatives as required
- Adapt to evolving HR needs and participate in continuous improvement efforts
- Support any new system implementation or relevant projects
Required Knowledge & Experience:
- University degree and/or College diploma in Human Resources with at least three years of related HR experience in a law firm
- Excellent interpersonal, oral and written communication skills
- Previous experience with HRIS systems (UKG would be an asset)
- Knowledge of Microsoft PowerBI
- Advanced skills in Excel for data analysis
- Strong knowledge of payroll processing systems for accurate handling of payroll and benefits
- Experience with benefit administration platforms for managing and enrolling in employee benefits
- Strong sense of urgency and work well under pressure
- Ability to exercise discretion and maintain confidentiality
- Strong time management and organizational skills with the ability to handle multiple demands and conflicting priorities
- Accuracy and attention to detail
- Previous administrative experience is essential

Compensation
The typical salary range for this position is $60,000 - $70,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
