Who You Are:
We are seeking an Intermediate Legal Administrative Assistant with 2-4 years of experience in plaintiff personal injury litigation, and specific experience in civil sexual assault litigation is a tremendous asset. You excel in a fast-paced, high-stakes environment, are solutions-oriented, and enjoy working collaboratively with others. As a key member of our team, you will play an integral role in providing trauma informed legal support to our clients and will receive training in this area. Your responsibilities will include drafting sensitive and precise correspondence, preparing legal documents including pleadings, applications and responses, and letters of instruction with accuracy, managing client communications with empathy and professionalism, and ensuring the seamless organization of case files and schedules.
Your Key Responsibilities:
- Draft clear and concise legal correspondence and documents based on general guidelines.
- Prepare Notices of Civil Claim, Notices of Applications and other pleadings such as Reply to Demand for Particulars
- Organize, prepare, and serve Lists of Documents
- Ensure accurate document management.
- Compile and organize Application Records for court proceedings.
- Communicate professionally and effectively with clients, keeping them informed.
- Prepare, format, proofread, and file legal documents and correspondence, whether from dictation, notes, or templates.
- Manage lawyer calendars, appointments, deadlines, and scheduling with attention to detail.
- Maintain an organized system for tracking important deadlines and follow-up dates.
- Serve as a key point of contact, communicating with clients, courts, opposing counsel and other parties.
- Schedule trials, chambers, and mediations in civil sexual assault litigation and personal injury cases.
- Organize and schedule medical appointments, prepare instructions for experts, and manage relevant documentation.
- Serve expert reports and keep clients informed about key dates and meetings.
- Open, organize, and maintain accurate files, records, and reports.
- Process payments, handle cheques, and manage invoices efficiently.
- Manage document scanning, photocopying, and handling incoming and outgoing mail and emails.
- Prepare retainer agreements and other legal contracts.
- Assist with document production and records requests as needed.
- Help prepare for trials and mediations with proactive organization and support.
- Set and achieve annual personal and team goals.
- Provide backup support for intake and other administrative tasks.
- Mentor, coach, and train junior Legal Administrative Assistants on procedures and standards.
- Step in for vacation coverage when needed to support the team.
- Perform other administrative tasks as assigned by lawyers.
What You Bring:
Experience: You have 2-4 years of experience as a Legal Assistant, in plaintiff personal injury litigation and/or specifically in civil sexual assault litigation, with a solid grasp of legal procedures and documentation. You're comfortable handling sensitive legal matters, such as sexual assault or abuse cases as well as managing important dates and deadlines independently.
Professional Communication: Ability to communicate effectively, empathetically, and professionally with clients.
Conflict Sensitivity: Awareness of trauma-informed communication practices when interacting with survivors of sexual assault.
Detail-Oriented: You have a keen eye for detail, ensuring accuracy and diligence in everything you do.
Empathy and Sensitivity: Ability to work with survivors of trauma in a compassionate and non-judgmental manner.
Professional Boundaries: Strong sense of professional boundaries and ability to remain impartial while supporting the legal team and clients.
Resilience: Emotional maturity and resilience to handle the emotional demands of cases involving sexual assault.
Trauma-Informed Training: Completion of trauma-informed care or similar training is a strong advantage.
Tech Skills: You’re proficient with Microsoft Office, Excel, Outlook, and other legal software. Experience with Filevine is a bonus!
