About the role:

This is an excellent opportunity for someone who is eager to build their skills and grow within a well-established, supportive law firm environment. As a Legal Administrative Assistant, this role requires strong technical skills, excellent organizational abilities, and the capacity to proactively manage files, deadlines, and document workflows.

You will work closely with lawyers across several practice areas, including commercial litigation, personal injury, and employment law, providing direct support on a variety of files and court-related matters. You will collaborate with legal professionals who rely on strong administrative document-management, scheduling, and litigation support skills to keep matters moving efficiently.

In this role, you will:

  • Draft, revise, and format court documents and file-related correspondence and materials with a high degree of accuracy
  • Prepare chambers records, application materials, and trial preparation binders
  • Coordinate filing and service of all pleadings through the appropriate courts, and following the appropriate procedures
  • Schedule and coordinate court-related proceedings (e.g. hearings, examinations for discovery, etc.)
  • Track all deadlines by maintaining an effective BF system
  • Manage lawyers’ calendars, coordinate meetings, hearings, and travel arrangements
  • Conduct conflict searches, and manage client intakes
  • Prepare and manage client billing, including invoicing and accounts receivable, and expense tracking
  • Open, maintain, and close files in accordance with firm procedures
  • Support other members of the litigation team as needed

Experience and skills we are looking for:

  • 2-4 years of experience as a Legal Administrative Assistant, preferably in Litigation and/or Labour & Employment
  • Graduate of an accredited Legal Administrative Assistant program
  • Excellent understanding of court procedures and document management
  • Strong time management, organizational, and multi-tasking skills
  • Exceptional communication and interpersonal skills
  • Proficient with Microsoft Office (Outlook, Word and Excel)
  • High attention to detail and excellent proofreading skills
  • Ability to follow-up on files and delays with minimal supervision
  • Familiarity with Unity Accounting, Worldox and NetDocuments is an asset

The typical salary range for this position is $55,000-$65,000 annually, and the base salary may vary depending on a combination of knowledge, skills, and experience, as well as internal and market equity.
