Legal Assistant Job Opportunity:

We are looking for a Legal Assistant to join our Business Law Team at our downtown Vancouver office.

The Ideal Candidate:

  • Highly organized
  • Self-starter who can work independently and as a member of the team
  • Able to multitask with great attention to detail/ take initiative
  • Strong communication skills both verbal and written
  • Excellent interpersonal and customer service skills

Duties & Responsibilities:

· Prepare/file annual maintenance of British Columbia companies, Federal corporations, Societies and annual reports for extra provincial registrations

  • Prepare and send reminder emails to clients
  • Prepare/ file director changes (when requested)
  • Assist with monthly billing for the Business Law Team, including annual maintenance billing
  • Assist with transparency register project (when requested)
  • Prepare transparency register project billing
  • Supporting due diligence activities, including conducting and coordinating corporate and due diligence searches in British Columbia (ie. BC Online searches)
  • Assist with letters and emails sending physical and virtual minutes books out (ie. registered and records office incoming/outgoing changes)
  • Filing financing statements in virtual minutes books (when requested)
  • Assist with overflow of general updates and maintenance of physical and virtual minute books
  • Update Appara [company management system] corporate database accordingly
  • Prepare certified document packages (when requested)
  • Order Certificates of Good Standing (when requested)
  • Assist with overflow work as needed

Requirements:

Graduate of an accredited Legal Administrative Assistant or Administrative Assistant program

  • Experience working in a law firm or office environment is an asset
  • Previous corporate experience is an asset
  • Able to organize and prioritize workload
  • Solid proficiency in MS Office (Word, Outlook, Excel and Adobe)

Experience with CosmoLex [accounting software], NetDocuments [document management system] and Appara is an asset

  • Ability to use critical thinking while problem-solving
  • Team player
