Description

The Team

Norton Rose Fulbright Canada LLP is currently seeking a legal assistant on a temporary 3 month contact to provide exceptional support to established busy legal practices in our Wealth Management Group in the Vancouver office. This position will play a key role in handling administrative items and requires a highly-organized professional individual with excellent client service skills and the ability to work in a challenging fast-paced environment.

The Role

  • Maintain a list of action items for your team of lawyers and follow up on status as required;
  • Maintain and monitor Outlook calendars including scheduling meetings locally and multi-office when required;
  • Edit, format, print and revise letters, memos, reports, forms, labels and other printed material using Word, Excel, PowerPoint, from dictation or other instruction as required;
  • Managing incoming emails and correspondence;
  • Extensive electronic file management responsibilities;
  • Organize and maintain correspondence files for key matters as required;
  • Taking a proactive approach to urgent matters by initiating the necessary action, particularly when the lawyers are travelling or away from the office at meetings;
  • Maintain an efficient file management and bring forward system;
  • Coordinate business travel arrangements within North America;
  • Liaising with Client Account Assistants for monthly production of accounts;
  • Acting as a liaison between lawyers and various internal and external clients at all levels;
  • Handling incoming and outgoing mail;
  • Perform administrative and related duties as assigned and assist others in the department as required;
  • Perform a variety of routine tasks as well as special projects as required.

Vancouver Salary: $45,181.50 to $73,426.50. Salary will be discussed and negotiated during interview and will be based on experience.

Qualifications

  • A minimum of 2 years' experience as a legal assistant in a law firm;
  • Graduate of legal administrative assistant program or relevant experience;
  • Experience in wills and estates and tax planning practice areas an asset;
  • Ability to maintain a high level of confidentiality and exercise discretion when necessary;
  • Advanced PC skills, particularly with Microsoft Office Suite (Chrome River, SAP, MS Teams, iManage knowledge would be an asset);
  • Able to work with minimal direction or instructions;
  • Able to delegate work appropriately to other service departments and/or Administrative Clerks;
  • Able to manage, organize and prioritize work independently;
  • Able to maintain excellent working relationships with all staff;
  • Excellent spelling and grammar skills.
