Description

You are a highly organized and detail-driven professional who understands what it takes to manage a high-volume residential conveyancing practice with accuracy and confidence. You work efficiently and independently, while contributing to a collaborative team environment. You take ownership of your files, communicate clearly with clients and stakeholders, and take pride in delivering exceptional service from contract to close. You are responsive, proactive, and thrive in a fast-paced setting where deadlines matter and client care is paramount.

This is a full-time position with flexibility to work remotely or from our Whistler or Squamish office.

Duties and Responsibilities

  • Set up and maintenance of client files (physical and electronic);
  • Receiving conveyance instructions and managing real estate transactions from start to finish
  • Preparation of statements of adjustments;
  • Preparation of documentation relating to transactions
  • Conducting BC Online searches (Title searches, BC assessments, company searches etc.)
  • Ensure documents are filed and registered at the Land Title Office;
  • Prepare requests for insurance binders, receive mortgage instructions,
  • Liaise with other law firms, clients, real estate agents throughout duration of each transaction
  • Liaising with legal assistants, other paralegals and lawyers on file progress
  • Completing payouts and preparing internal documents relating to trust transactions/trust account documentation
  • Preparing reporting letters and ensuring key closing dates and tasks are diarized
  • Ensure that CRA holdbacks, strata holdbacks are processed in a timely manner
  • Assist with general office-related tasks as required on a day-to-day basis;

Qualifications and Expectations

  • Legal Administrative Assistant diploma, Paralegal diploma or the equivalent of relevant work experience in a law office;
  • Requires working knowledge of MS Outlook, Excel and Word;
  • Shows excellent verbal and written communication skills;
  • A client focused approach and commitment to providing exceptional service to clients;
  • Demonstrates attention to detail and accuracy;
  • Has ability to work independently and takes ownership of assigned tasks;
  • The ability to work in a fast paced team-oriented environment and a desire to learn are all required in this position;

Job Type: Full-time, Permanent
