The Team
Norton Rose Fulbright Canada LLP is currently seeking a Receptionist / Catering Attendant to work in the Vancouver office. The successful candidate will report to the Office Services and Facilities Assistant Manager. The primary responsibilities of the position are outlined below:
Please note the hours of work may vary between 7:00 am to 6:00 pm, Monday to Friday with some flexibility to accommodate additional hours when requested.
You will be focusing on:
- Cover reception and catering when and where necessary
- Greet clients and visitors, ensuring a clean and welcoming environment in the conference area
- Receive and relay incoming calls and deliver messages as necessary
- Coordinate scheduling of conference rooms, meeting rooms and visitor offices, liaising with the hospitality, facility and technical team as required
- Maintain log of security pass cards and conduct semi-annual audits
- Keep visitor log and issue temporary security passes to staff as necessary
- Prepare and set up both catering items and furnishings in boardrooms for internal and external meetings as well as special events
- Responsible for the cleaning and maintaining of all boardrooms, coffee stations, lounge and communal spaces to ensure a high standard of cleanliness and safety; including regular cleaning of refrigerators, microwaves, etc.
- Ensure proper food handling techniques and sanitation practices are used at all times
- Assist with placing food and beverage orders for internal and external meetings including supporting internal and external clients on food selection; working with caterers on food requirements and ensuring food assembly meets the firm standard while keeping within budget
- Assist with managing inventory in conference area, lounge, satellite kitchens and collaborative spaces to ensure appropriate level of food items and non-consumable supplies are maintained and procure new supplies as required with proper approval
- Ensure the catering station is cleaned before end of day departure, with all food put away and dishes cleaned
- Process invoices and allocate to the appropriate client and matter category
- Assist with Level 1 support for AV issues in meeting rooms, escalating to Level 2 as needed
- Administer cleaning, maintenance, access card requests and repairs of firm premise through the building services
- Perform various related administrative tasks for the OS&F team, which may include preparing invoices for approval, running reports on meeting room utilization, entering metrics for reporting, posting internal communications notices via Scoop or “Need to Know” and other duties as requested
What you bring to the role:
- Previous work experience in a receptionist/administrative position in a professional services firm
- Experience or knowledge of client and food services industry
- Passionate about delivering exceptional service to ensure an exceptional client experience
- Possess excellent customer service skills with the ability to communicate effectively with all levels of staff and our clients and guests
- Demonstrates a solutions driven approach with the ability to anticipate clients’ needs
- Solid computer skills, including experience with Microsoft Office and EMS room management software or another similar boardroom booking program
- Ability to succeed in a team-based environment as well as excel independently
- Strong organizational skills and attention to detail
- Ability to juggle multiple tasks in a time sensitive environment
- Flexibility in scheduling work hours to accommodate the timing of events, which may include working early mornings, evenings and weekends

Vancouver Salary: $45,142 - $73,427. Salary will be discussed and negotiated during interview and will be based on experience.
