Role Overview
Our Vancouver office is currently recruiting for a Client Centre Coordinator in our Facilities & Business Services Department, reporting to our Manager, Facilities & Business Services. The Client Centre Coordinator provides exceptional client service by managing client meetings and internal events with close attention to detail in collaboration with key support teams.
The successful candidate will be responsible for:
- Upholding and leading Client Centre service standards, ensuring a consistently high‑level client and hospitality experience.
- Leading end‑to‑end planning and execution of internal events and client functions, including budgeting, catering, room bookings, AV coordination, set‑ups, and vendor/relationship management.
- Overseeing daily Client Centre operations, proactively managing meeting reservations, room readiness, inventory, and resolving scheduling conflicts as needed, escalating where appropriate.
- Ensuring meeting rooms and conference spaces are properly set, stocked, and configured to meet business volume, firm standards, and client requirements; providing office tours as required.
- Managing expenses, invoices, and utilization reporting, and collaborating with Office Services, Facilities, and Business Services to drive continuous improvement; providing reception and catering coverage when required.
The successful candidate must have the following education, experience and/or demonstrated skills:
- Minimum 5+ years of hospitality or client‑service experience, with reception/front desk or concierge experience.
- Excellent communication skills with the ability to remain professional, flexible, and composed in a fast‑paced, high‑pressure environment.
- Strong organizational, time‑management, and problem‑solving skills, with the ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
- Energetic and detail‑oriented, with a genuine passion for delivering exceptional client service and upholding high service standards for meetings and events.
- Proficient in Microsoft Windows 10 and Microsoft Office Suite.
- Availability to work flexible hours, including evenings and weekends, as required.
Employment Type: Permanent, Full-Time
Salary Range: $51,000 - $56,000 Annually
