About the role:
This one-year contract for a Corporate Services Assistant is an excellent opportunity for a Legal Administrative Assistant who wants to establish or has already started to build a specialization in Corporate Services, while joining a tight-knit team that values collaboration, learning, and mentorship.
You will work closely with the Corporate Services team and provide administrative support to lawyers, paralegals, and other firm staff members. This role is responsible for maintaining corporate records, processing routine filings, organizing corporate documents, and assisting with day-to-day administrative functions to ensure client information and records are accurate, accessible, and up to date. This role requires in-office attendance for all days of the week.
In this role, you will:
- Maintain and update physical and electronic corporate record books and client files;
- Assist with routine corporate records maintenance, including annual reports and updates;
- Ensure client and corporate information is accurately entered and maintained in firm databases and document management systems;
- Perform quality control reviews of corporate records to identify missing or incomplete documentation;
- Provide administrative support to lawyers, paralegals, and other members of the Corporate Services team;
- Open, maintain and close client files and matters in accordance with firm procedures;
- Maintain bring-forward systems and task lists, in accordance with departmental processes;
- Assist with routine corporate filings, registrations, and database updates under supervision;
- Prepare standard forms and documentation using established precedents and templates;
- Process and track documentation through corporate registries and online filing platforms;
- Assist with the collection and organization of information required for incorporations, annual maintenance matters, and other corporate records updates;
- Assist with preparing bills and follow up for accounts receivable as needed; and
- Support other tasks and responsibilities as required.
Experience and skills we are looking for:
- Completion of a Legal Administrative Assistant Certificate is preferred, plus a minimum of 1 years’ experience as a Legal Administrative Assistant, or an equivalent combination of training, education and experience.
- Previous administrative, records management, legal support, and/or professional services experience is considered an asset.
- Strong attention to detail, with an aptitude for high quality proofreading skills.
- Excellent interpersonal and communication skills.
- Ability to problem-solve and redefine priorities within an occasionally fast-paced environment.
- Ability to work independently and collaboratively as part of the Corporate Services team and the wider firm.
- Proficiency with Microsoft Office Suite (Word, PowerPoint, and Excel), and corporate services technology (experience with ALF, NetDocuments, or similar software applications are an asset).
The typical salary range for this position is $45,000-$65,000 annually, and the base salary may vary depending on a combination of knowledge, skills, and experience, as well as internal and market equity.
