We are currently looking for a full-time, permanent Director of HR and Operations to start in December, 2026. We offer a competitive salary and benefits package including participation in the firm’s DPSP/RRSP program.
Leadership and Firm Management
- Oversee and direct the Firm’s overall management and administrative functions, including human resources, financial management, information technology, marketing, facilities, and administrative policies and procedures.
- Provide approachable, responsive, and strategic leadership on human resources and personnel matters across the Firm.
- Foster a culture of transparency, continuous improvement, accountability, collegiality, and trust.
- Build and maintain strong relationships with lawyers and staff at all levels of the Firm.
- Handle sensitive and confidential matters with discretion, integrity, and respect for employee privacy.
- Research, evaluate, recommend, and implement employment and other administrative policies and procedures.
- Recommend and implement initiatives designed to enhance and strengthen Firm culture and collegiality.
Human Resources and Talent Management
- Oversee all human resources operations, including employee benefits, compliance, recruitment, onboarding, performance management, compensation, and employee relations.
- Recruit, interview, and hire new staff, and oversee the onboarding process to ensure appropriate orientation, training, and ongoing support.
- Coordinate and participate in annual staff performance reviews.
- Conduct regular meetings with Legal Administrative Assistants (LAAs) and paralegals to address concerns, support professional development, and promote effective communication.
- Manage staff and associate departures, including offboarding and transition processes.
- Make recommendations to the Directors regarding staff salary increases and bonuses.
Governance and Strategic Implementation
- Prepare agendas for, chair, and maintain minutes of Directors’ meetings.
- Chair and facilitate other Firm committee meetings, including social, technology, and other management committees.
- Ensure the timely implementation of decisions made by the Directors and communicate relevant information to staff as directed.
- Act as the Firm’s Chief Privacy Officer.
Technology and Information Systems
- Oversee and evaluate the Firm’s existing and future computer, photocopy, telecommunications, and other technology systems and equipment.
- Research, recommend, and implement enhancements to technology infrastructure and systems.
- Assist with the coordination and implementation of software and hardware rollouts, including arranging appropriate training for lawyers and staff.
- Supervise and direct third-party technology consultants and service providers.
Facilities, Vendors, and Risk Management
- Maintain and optimize the Firm’s physical facilities, furnishings, and equipment.
- Work collaboratively with landlords, contractors, architects, designers, vendors, and other suppliers as required.
- Manage the Firm’s insurance portfolio, including annual renewals and insurance claims.
- Deal with any requests or issues from our tenants.
Marketing, Communications, and Events
- Oversee the planning and implementation of internal and external Firm events.
- Coordinate the Firm’s participation in industry events.
- Coordinate and participate in client and holiday gift initiatives.
- Oversee the administration of the Firm’s website and the publication of Firm news, articles, announcements, and other content through the Firm’s communications and social media channels.
Additional Responsibilities
Undertake other management and administrative initiatives as required to support the effective operation, growth, and strategic objectives of the Firm.
Qualifications
- Minimum Five years’ experience in management and administration of a medium to large-sized firm, with preference given to professional services firm (especially law firm) experience;
- Knowledge of ADP Workforce Now, Net Documents and ActionStep an asset; and
- Excellent problem-solving ability and communication skills.
