Description

Ratcliff LLP is seeking a highly organized, professional, and proactive Executive & Operations Coordinator to support the firm’s Management Leadership Group and Chief Operating Officer. This is a full-time, in office position in our North Vancouver office.

Reporting to the COO, this role combines executive-level administrative support with operational coordination responsibilities across the firm. The successful candidate will work closely with firm leadership, regularly handle highly confidential information, and assist with a broad range of operational, administrative, and firm-profile initiatives. The ideal candidate is detail-oriented, resourceful, adaptable, and capable of managing multiple priorities in a fast-paced professional environment.

Key Responsibilities

Executive & Leadership Support

Provide executive and administrative support to the Management Leadership Group and COO.

Coordinate leadership and partner meetings, including scheduling, agendas, materials, logistics, and follow-up items.

Prepare accurate and confidential meeting minutes and maintain related records and documentation.

Assist with internal leadership communications and administrative initiatives.

Maintain strict confidentiality with sensitive firm, client, personnel, and financial information.

Operations & Office Coordination

Assist with operational and administrative projects across the firm.

Coordinate office-related initiatives, such as vendor coordination, office maintenance,  furniture procurement, and minor renovation projects.

Track project timelines, action items, and operational priorities.

Support the firm leadership with day-to-day operational coordination and administrative follow-through.

Sponsorships, Marketing & Recognition Support

Coordinate firm sponsorships, advertising placements, and related administrative requirements.

Assist with applications and submissions for legal rankings, awards, and industry recognition programs at the instruction of the Management Leadership Group.

Maintain calendars and tracking systems for sponsorship renewals, submissions, and deadlines.

Support firm events, profile-building initiatives, and related administrative coordination.

Update firm website and post to social media.

Maintain record of Marketing expenses and track against budget.

Administrative & Organizational Support

Maintain organized records, files, and administrative systems.

Prepare correspondence, reports, presentations, and other materials as required.

Assist with special projects and additional responsibilities in support of firm operations and leadership initiatives.

Qualifications & Experience

Minimum 3–5 years of experience in executive administration, office management, operations coordination, or a similar role.

Experience in a law firm or professional services environment is considered an asset.

Exceptional organizational, time-management, and multitasking abilities.

Strong written and verbal communication skills.

Demonstrated ability to exercise discretion and handle highly confidential information.

Strong attention to detail and problem-solving skills.

Ability to work independently and collaboratively in a fast-paced environment.

Proficiency with Microsoft Office and related administrative software.

Experience with layout programs such as Adobe InDesign is an asset.

Compensation & Benefits

Salary: $85,000 - $95,000
