We are seeking a Facilities & Marketing Assistant to assist our internal clients in the daily operations of the firm. The ideal candidate will have excellent communication and organizational skills, a superior aptitude for using software to manage workflow, and excellent interpersonal and communication skills.
ACCOUNTABILITIES & RESPONSIBILITIES
- Provide assistance to firm administration
- Provide basic IT support
- Liaise with outside IT company when needed
- Assist with setup for new staff
- Liaise with building management regarding maintenance, security cards and parking
- Act as Fire Warden
- Maintain and update safety information and procedures
- Set up and coordinate meetings, training sessions, webinars and conferences
- Order catering
- Assist with staff social events
- Reception coverage upon request
- Collaborate with case management software administration team to maintain the client relationship management functions and generate and analyze reports
- Coordinate social media reviews
- Oversee firm and individual lawyer mailing lists
- Coordinate marketing and business development functions, events, and opportunities for the firm and individual lawyers including receptions, conferences, celebrations, holiday cards, gifts, thank you gifts, and referral gifts
- Collaborate with vendors to design, budget, and produce promotional materials for client referral gifts
- Coordinate creation of holiday e-cards
- Draft, edits and finalize Internal Firm Newsletter
- Send out mailchimp communications
- Oversee marketing inventory
- Manage mailing lists for e-blasts
- Work with third party website designers to maintain and improve website content
- Other tasks as assigned by the Director of HR & Operations or other senior Management
- Ensure adherence to the firm’s policy and procedures manual
REQUIRED EXPERIENCE & QUALIFICATIONS
- Experience with marketing and/or administrative assistant work
- Strong team player with excellent interpersonal skills and a strong customer service focus
- Superior verbal and written communication skills
- Impeccable telephone etiquette
- Software knowledge including: MS Word, MS Excel, Outlook, Internet, and Case Management Software
- Superior organizational/document management skills with a strong attention to detail
- Ability to manage work responsibilities in an unstructured environment
- Ability to prioritize job tasks and execute deliverables in a timely manner
- Independent with the ability to confidently make judgment calls and recommendations
- Sound business judgment including the ability to handle sensitive confidential information
- Professional temperament, including the ability to remain calm under difficult circumstances
