Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, is currently looking for a HR Assistant to provide general administrative support services to the Human Resources and Legal Personnel Departments, and other committees, as required.  This position will report to the Director, Administration and HR Manager.

Primary responsibilities of the position include, but are not limited to:

  • Prepare new hire packages and process HR & Payroll forms
  • Administer the HRIS program by entering all new hire, employee changes and terminations in Ultipro, and pull reports as required
  • Post absences and vacation entries in Ultipro
  • Gather and update data as required, including HR lists, office floor plans and local lists.
  • Assist with updating and maintaining Orientation Manuals, Employee/Student Handbooks, Policies and Procedures Manual, and other related information
  • Be an active member of the Firm’s Social Committee and plan, organize and attend staff events
  • Coordinate internal and external student events
  • Update and maintain confidential personnel files and HR records
  • Respond to queries on benefits and other HR & Legal Personnel policies and procedures
  • Assist with the performance review process and maintain its database (ViDesktop)
  • General administrative assistance to the HR and Legal Personnel Departments, including processing invoices
  • Assist with facilities requests, such as liaising with building landlord, cleaners, trades people and other contractors
  • Provide back-up to receptionist only as required

Qualifications

Education/Experience:

  • Minimum 3-5 years of office administrative experience

 Skills/Abilities:

  • Strong working knowledge of Word, Power Point and Excel
  • Comfort working with online databases
  • Ability to work with lawyers, students, staff and potential new recruits with tact and diplomacy
  • Ability to deal with sensitive information in strict confidence
  • Excellent interpersonal, organizational and time management skills
  • Ability to work independently or as a contributing member of a team
  • Keen attention to detail
  • High energy with a focus on customer service
  • This position requires occasional overtime

Anticipated range for this role: $50,000 - $65,000
