Law Office Manager

Scion Law LLP is a boutique firm located in downtown Vancouver, specializing in tax, trust, estate planning and administration, as well as estate litigation and family law. We are currently seeking a dedicated and experienced Law Office Manager to join our growing team.

Responsibilities:

  • Being primary contact for lawyers, staff and service providers regarding firm operations
  • Managing office equipment, facilities, software and supplies, including communicating with the firm’s vendors and service providers
  • Handling all building related issues, including access to building and offices, office maintenance, and communicating building announcements to all firm members
  • Overseeing and monitoring the firm’s general and trust accounts, including attending to bank reconciliations, reporting requirements, audits, and ensuring ongoing compliance with trust accounting rules and fraud prevention protocols
  • Handling receivables and payables and online transactions including accounting system data entry
  • Handling general inquiries via phone, email, and in-person visits
  • Managing incoming and outgoing mail, faxes, and couriers
  • Opening and closing client files and maintain an up-to-date filing system
  • Overseeing firm software and technology, including setting up hardware, creating accounts and working with vendors to resolve any issues
  • Following up on accounts receivable and collections
  • Tracking human resources and administration, including scheduling vacation, tracking sick days and reimbursement of expenses

Qualifications:

  • At least three to five years of experience in a legal or administrative role
  • Human Resources, operations, and/or office management experience or training preferred
  • Proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat
  • Strong written and verbal communication skills
  • Ability to prioritize tasks and multitask effectively
  • Superb organizational skills
