Jamal Law Group is a growing downtown firm specializing in Family Law and currently seeks a full-time Legal Administrative Assistant wishing to join a collegial, inclusive, and supportive team that works in a fast-paced, paperless environment.
General Accountability
Responsible for all aspects of managing client and file information, including establishing and maintaining organizational systems to manage paper-flow; client contact; preparing letters and basic court documents; filing court documents; and billing and office administrative tasks.
Primary Responsibilities
- Set meeting dates, mediations, discoveries, hearings, and communicate with registries;
- Arrange court filings and applications;
- Track court dates and limitation dates;
- Open and close files;
- Conduct conflict checks;
- Prepare and draft various correspondence and documents, including court pleadings;
- Assist with the preparation of court applications, trial briefs, and JCC memos;
- Assemble application records, case authorities, trial exhibits, and corresponding indexes;
- Maintain efficient file management and bring forward system;
- Maintain a full calendar, email management, and manage lawyers’ practices;
- Monthly billing;
- Liaise with legal assistants, paralegals, opposing counsel, and clients on file progress and next steps;
- Provide back-up relief Reception and;
- General administrative duties as required.
Qualifications and Skills
- Successful completion of an accredited Legal Administrative Assistant program or relevant experience;
- Previous experience as a legal assistant desired, ideally in the area of family law or civil litigation;
- Ability to receive and interpret instructions and prepare required documentation, including court documents, letters, and memos;
- Familiarity with the court registries, both provincial and supreme;
- Experience working on files engaged in an alternate dispute resolution process an asset;
- Understanding of BC civil litigation practices and procedures, with an emphasis on family law;
- Ability to read and understand the BC Supreme Court Civil Rules and/or BC Supreme Court Family Rules;
- Strong technical skills, including working knowledge of Microsoft Word, Excel, Outlook, and Adobe;
- Experience with DivorceMate, Adobe, BC Online, myLTSA, and Court Services Online an asset;
- Experience with PC Law and document management systems an asset;
- Excellent verbal and written communication skills;
- Excellent organizational skills and strong attention to detail;
- Ability to take initiative to think ahead and seek instructions;
- Ability to prioritize a high volume of tasks and competing priorities;
- Ability to work within a team environment;
- Ability to follow instructions and adhere to strict deadlines;
- Ability to exercise sound judgment, discretion and confidentiality, and to adapt to changing demands;
