Jamal Law Group is a growing downtown firm specializing in Family Law that prides itself on its inclusive, diverse, and collaborative team environment. Due to an impending retirement, we are seeking a part-time Manager, Finance and Operations to oversee all operational matters including accounting and finance, facilities, and IT, ensuring appropriate service and support is provided by all functional areas.

Primary Responsibilities

A) Finance

• Review firm practices and accounting procedures to ensure compliance with the trust accounting rules outlined by the Law Society of BC;
• Oversee daily, weekly, and monthly accounting duties performed by the Bookkeeper;
• Monitor cash flow bi-weekly;
• Ensure all month end tax obligations are current and up to date;
• Ensure Intercompany postings and month end journal entries are complete and reconciled;
• Review and sign month end bank reconciliations;
• Review and monitor monthly financial reports with the Partner;
• Review prepared annual trust reports, TAF and other filings required by the Law Society of B.C.;
• Implement new accounting procedures when required.

Banking
• Manage communications with TD Bank re loans, credit lines, mortgages and signing authorities;
• Provide any special reports requested by the bank.

Payroll and Human Resources
• Manage and maintain vacation and sick leave records;
• Manage and authorize (first level) vacation requests;
• Review each payroll submission;
• Administer all aspects of the firm’s benefit programs including enrollment, status changes, and terminations;
• Negotiate annual benefits package with provider;
• Assist with the onboarding and termination of employees;
• Implement any changes to payroll or benefits resulting from the annual reviews;
• Guide, coach, and oversee the performance management of the Bookkeeper.

Year End Preparation
• Review WIP for write offs, billing and closing of files before year end preparation;
• Review year end payroll documents for accuracy before submitting;
• Prepare and submit to the external accountants all required working papers for the PLC and    Holdco;
• Liaise with external accountants and the Partner;
• Reconcile, report, and pay the annual EHT and WCB (BC and Saskatchewan) premiums;
• Prepare and review annual budget with the Partner.

B) Facilities and Operations

• Oversee IT related requests, including deployment of equipment, and consult with external IT service provider.
• Oversee firm inventory/equipment/furniture and purchase new equipment when required;
• Liaise with building personnel for any facility needs;
• Ensure all insurance policies are up to date: professional liability insurance, office insurance as well some private policies for the Partner;
• Oversee any office renovations;
• Assist with oversight of any rental agreements with tenants;
• Execute any other requests from the Partner.

C) General Administration

• Act as a key contact for third party vendors and maintain contracts/annual renewals (including LSBC and third-party insurers);
• Review and update as necessary, office systems and processes;
• Manage general firm communications;
• Other duties as required.

Qualifications and Skills

• University or college degree/diploma in Accounting and/or Finance. Human Resources education an asset.
• Minimum five years’ experience in full cycle general accounting. Law firm and Human Resources experience preferred;
• Three to five years’ office management experience, ideally in a law firm or professional services environment.
• Experience leading teams with the ability to manage, support, motivate, influence, and inspire.
• Excellent problem solving, analytical and critical thinking abilities.
• Excellent interpersonal skills; highly developed empathy and listening skills.
• Strong technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), ideally complemented by a working knowledge of law firm applications such as PC Law, Synergy, and BC Online.
• Highly organized, detail-oriented, and able to multi-task while responding to changing priorities.
• Sound judgment, tact, flexibility, open-mindedness, and the ability to work with others and build strong working relationships at all levels, both internally and externally.
• Excellent verbal and written communication skills and proven ability to develop clear and concise communication.
