Marketing and Business Development Coordinator Position

 Role overview: The Marketing & Business Development Coordinator provides support to the Marketing & BD Department within a dynamic mid-size law firm environment.  We are looking for an intermediate coordinator to join our team.

This position reports to the Manager, Business Development & Marketing and works collaboratively with the Manager, practice group leaders, lawyers, and other firm members as required to implement internal and external marketing and business development activities, and provide regular status updates.

Relationship-driven: Builds and maintains strong working relationships across the firm and with external partners to advance projects and initiatives.

Communication and representation: Demonstrates excellent communication skills with internal colleagues, clients, vendors, suppliers and contractors and represents the firm professionally.

Organization and execution: Organized, detail-oriented, and goal-focused; manages competing priorities and delivers short-term results by executing project milestones that support longer-term marketing strategies.

CORE RESPONSIBILITIES:
Communications:

Expands the profile of RBS in the marketplace by developing timely, polished, on-brand promotional content including:

  • Print/Digital Collateral: Coordinate content development and delivery of collateral materials for digital/print advertising (promotional materials for industry associations, sponsorship and seminar materials, ads, posters, mailouts, graphics, etc.)
  • Digital Promotional Materials: Production and distribution of electronic marketing materials and announcements through departmental communication software (Eblasts, Evites, Newsletters, Holiday Greetings, etc.)
  • Social media: Maintain the firm’s existing social media presence, plan and develop social media content and campaigns that align with and highlight firm/lawyer initiatives and strategies
  • LinkedIn: support lawyers using LinkedIn with best practices to enhance their reputation
  • Website Coordination: Update lawyer bios, practice and student pages, and other pages as required; support development and roll-out of special web projects that ensure the firm brand, lawyers’ proficiency and practice offerings are visible through AI searches with Generative Engine Optimization (GEO); support development of a new website
  • Directories and Ranking Submissions: Coordinate directories and submissions of professional rankings and/or research new platforms to promote the firm and its lawyers
  • CRM Marketing Database: Support the firm’s CRM platform (IntelliPad) to advance and encourage business development and relationship building efforts through business mailing lists

Practice and Industry Group Support:

  • Support a range of practice and industry group activities including researching relevant associations and professional networks to evaluate new business opportunities like networking events and sponsorship prospects
  • Support the coordination and participation in award nomination and submission processes

 General Administration:

  • Maintain necessary filing and document management systems
  • Assist with processing the Department’s account payables and cheque requisitions
  • Coordinate photoshoots for website bios
  • May include supporting client events (attendance/logistical support) to cover for team due to vacations, etc.
  • Some sponsorship coordination (filling sponsored tables, etc.)
  • Conducting industry research; and other projects as assigned

IDEAL CANDIDATE PROFILE:

  • Bachelor’s degree in business, marketing or communications and  3-5 years marketing and BD experience preferred, preferably within a law firm or professional services organization
  • Excellent written and verbal communication with the ability to communicate clearly, persuasively and effectively
  • Excellent organizational skills and attention to detail with the ability to manage multiple priorities simultaneously
  • Work well under pressure and handle stress and multiple tasks in a composed, calm and professional manner; maintain confidentiality
  • Embrace AI and other evolving technology, with strong computer skills, including Microsoft Office, Constant Contact, CRM systems, Excel, and/or other analytic tools
  • A team player with a flexible attitude with the ability to pivot based on new information, capable of setting direction and establishing priorities
  • Take initiative, work autonomously and maintain a positive attitude both independently and when collaborating with cross-functional teams
