The Opportunity

Koskie Glavin Gordon is seeking an experienced full-time Office Manager to oversee the day-to-day financial and administrative operations of the firm.

The successful candidate will have a strong background in accounting and bookkeeping, exceptional organizational skills, and the ability to manage a broad range of responsibilities with accuracy, discretion, and independence.

Our firm consists of approximately 18 lawyers, 4–5 support staff, and articling students, with some lawyers working in a hybrid environment. This is a hands-on role that combines financial management, legal billing, office administration, staff coordination, and regulatory compliance.

The Office Manager will work closely with the firm's lawyers, staff, partners, external accounting professionals, vendors, and other service providers to ensure the firm's operations run smoothly and efficiently.

Key Responsibilities

Accounting, Bookkeeping & Financial Administration

  • Manage the firm's day-to-day accounting and bookkeeping functions, including accounts payable, accounts receivable, banking, record keeping, and financial reporting.
  • Manage the firm's monthly client billing process, including preparing and issuing lawyer time and disbursement accounts, reviewing billing information for accuracy and completeness, following up on outstanding billing matters, and responding to billing-related inquiries from lawyers and clients.
  • Monitor accounts receivable and support the timely collection of outstanding accounts.
  • Monitor online banking activity and attend to banking requirements relating to the firm's operating and trust accounts.
  • Process semi-monthly payroll for approximately 22 full- and part-time employees, ensuring all payroll deductions and source remittances are completed accurately and on time.
  • Ensure the firm's tax and payroll compliance requirements are met, including the preparation and filing of applicable GST, PST, EHT, and payroll-related returns and remittances.
  • Prepare monthly bank reconciliations for the firm's general operating and pooled trust accounts.
  • Ensure the firm's accounting practices remain compliant with the Law Society of British Columbia's trust accounting and reporting requirements.
  • Monitor and track associate lawyers' monthly billings for purposes of calculating applicable annual performance bonuses.
  • Prepare and maintain regular financial and administrative reports for review by the firm's partners.

 Office Management & Staff Coordination

  • Oversee the firm's support staff and ensure appropriate administrative and office support is provided to lawyers on a daily basis.
  • Coordinate day-to-day office operations and address administrative matters and issues as they arise.
  • Establish and maintain efficient administrative procedures and systems to support the firm's lawyers and staff.
  • Coordinate office requirements in a hybrid work environment and ensure the office continues to operate effectively and efficiently.
  • Liaise with external service providers, vendors, professional advisors, and other third parties as required.

Annual & Compliance Responsibilities

  • Coordinate the annual renewal and maintenance of excess liability insurance for all lawyers.
  • Coordinate the annual renewal and maintenance of the firm's office insurance.
  • Prepare the firm's annual trust report and supporting materials for review by the designated trust assurance partner and submission to the Law Society of British Columbia.
  • Prepare and organize monthly and annual financial and administrative reports and supporting documentation.
  • Early in each new year, assemble and provide the firm's external accounting firm with the financial records, reports, and other documentation required to complete the firm's annual year-end review of financial statements.
  • Attend to other accounting, compliance, and administrative responsibilities as required.

What You Bring

  • 5+ years of experience in accounting, bookkeeping, office management, or a similar role, preferably within a professional services or legal environment.
  • Strong knowledge of full-cycle bookkeeping and day-to-day accounting practices.
  • Experience with QuickBooks accounting software.
  • Experience with Clio or another comparable legal practice management and billing software program.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Experience with or knowledge of Adobe is an asset.
  • Familiarity with Law Society of British Columbia trust accounting requirements is an asset.
  • Strong understanding of payroll processing, government remittances, and tax compliance.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and maintain a high degree of accuracy in a busy professional environment.
  • Ability to work independently, exercise sound judgment, and take ownership of responsibilities.
  • Strong interpersonal and communication skills, with the ability to work effectively with lawyers, staff, clients, and external professionals.
  • A high degree of professionalism and discretion when handling confidential financial, employee, and client information.

  • Salary: Commensurate with experience and qualifications, in the range of $90,000 to $110,000 annually with potential for discretionary bonus based on firm performance.
  • Extended period of training with current Office Manager (retiring after decades of work with the firm)
