The Team
The Talent Coordinator is a permanent, full-time position in the Vancouver office, which will dually report to the Legal Talent and Human Resources teams in the Vancouver office. The Talent Coordinator will work closely with local teams, as well as collaborate with the broader People & Development team to ensure the service level provided to internal clients meets the requirements of the firm and is consistent with the policies, procedures and firm culture.
Job Overview
The ideal candidate should possess a high degree of discretion, organization and independent judgement, with a proven skill set towards building collaborative and trusted relationships and fostering a spirit of co-operation and teamwork. They will maintain a very high level of confidentiality; instill trust; consider strategy and act autonomously while soliciting input and guidance as appropriate.
The Talent Coordinator supports all aspects of the Student and Associate programs at the Vancouver office, including recruitment, onboarding, licensing and insurance with the BC Law Society, performance management and compensation, off-boarding, event and program planning and execution as well as attending to tasks and liaising with the national People & Development team and other internal groups as necessary. The Talent Coordinator role also encompasses a broad range of other responsibilities from tracking and submitting expenses, data entry to reporting and project work.
The Talent Coordinator is a key member of the People and Development team, responsible for initiating and managing various Workday tasks related to the employee life-cycle, including promotions, departures, new organizational structures, and payroll forms and processing. This role involves handling a wide variety of administrative functions from HR invoices and milestone anniversary programs to employee engagement initiatives ensuring seamless HR and legal talent operations across the organization. The ideal candidate is highly proficient in Excel and HRIS (ideally Workday), and possesses strong organizational and communication skills.
Key Responsibilities and Duties
The role will involve but is not limited to the following:
Legal Talent:

Support all key legal talent initiatives, including fee-earner life-cycle activities.

Coordinate performance review and compensation processes for associates.

Support all aspects of student recruitment activities and serve as the primary administrative support for the application process from application through to offer.

Primary point of contact for all current and hired students with respect to their Law Society of BC applications, requirements and required paperwork to ensure timely filing of all documentation and compliance with the Law Society Admission Program.

Arrange for onboarding and orientation of all new lawyer hires and assist with off-boarding, in particular Law Society paperwork and seeking reimbursement of insurance and practice fees from any new employer.

Support the Student Committee in the hire-back decision process from articling student to associate.

Assist the Office Managing Partner to ensure that all Vancouver lawyers’ annual insurance fee assessment bi-annual installments are paid on time to the Law Society of BC.
Human Resources and People Operations:

Support all key HR initiatives, acting as a contact for questions and providing interpretation in the areas relating to policies and procedures.

Initiate and manage Workday tasks in collaboration with local and national HR team.

Collaborate with other team members to plan and organize internal employee events including Employee Appreciation Week, social and wellness events, lunch and learns and other employee programs.

Coordinate Employee Bravo program communications, Milestone Anniversary program and other recognition programs as required.

Assist with employee life-cycle activities from onboarding to retirement.

Manage team invoices, reimbursements, expenses, and maintain accurate records.

Coordinate system updates and payroll activities for parental leaves and disability leaves.

Participate in legal assistant practicum student programs, and other activities within the practice.

Assist in ad-hoc projects as required.
Administrative Support:

Provide general administrative support to the People Operations team.

Monitor and reply to emails received in the HR or legal talent mailboxes, ensuring prompt and professional responses.

Maintain detailed documentation and reporting for all processes and initiatives.

Utilize advanced Excel skills to create, update, and analyze HR-related data.

Generate regular reports and dashboards to track HR metrics and program effectiveness.
What you bring to the role:

Minimum of 4 years of human resources or legal talent experience, preferably in a professional services environment, with comfort dealing with all levels of the organization.

University degree or college diploma with a specialization in Business Administration or Human Resources.

Exceptional oral and written communication skills.

The ideal candidate is a motivated self-starter with a tireless service ethic who enjoys working closely with others in achieving common goals.

Flexibility and the ability to adapt to change.

Experience with HRIS software, strong Microsoft skills and proficiency with spreadsheets.

Ability to manage multiple client needs and effectively prioritize in an ever-changing deadline driven environment.

Understands importance of and demonstrates strict adherence to confidentiality of information.

Organized planner with strong project management and communication skills, excellent interpersonal skills.
Vancouver Salary: $56,700 - $77,900. Salary will be discussed and negotiated during interview and will be based on experience.
