Poulus Ensom Smith LLP is a Vancouver-based litigation boutique specializing in commercial litigation and arbitration. Our practice areas include contractual disputes, corporate and shareholder disputes, securities, regulatory matters, professional negligence, and administrative and public law disputes. We are seeking a full-time legal administrative assistant who is a team player with a client-focused approach to delivering high-quality service. The successful candidate is highly organized, adaptable, and detail oriented.
Responsibilities include:
- Open, maintain, and close files in accordance with firm procedures including conflict checks and client identification and verification procedures.
- Manage lawyers’ calendars and active file lists.
- Maintain and manage bring-forward systems to track deadlines, follow-ups, and outstanding tasks.
- Manage incoming and outgoing correspondence.
- Liaise with counsel, clients, experts, witnesses, and registries.
- Schedule court appearances, discoveries, and coordinate with registries as required.
- Prepare court materials such as books of authorities, trial binders, and application records, ensuring accuracy, completeness, and compliance with registry requirements.
- Conduct online registry and corporate searches and obtain relevant filings and records.
- Assist with billing processes, including time entry, preparation of accounts, and disbursements.
- Perform general administrative duties.
Qualifications:
- 2-5 years’ experience as a legal administrative assistant with a focus on litigation.
Excellent time management and organizational skills and meticulous attention to detail. - Demonstrated ability to manage competing priorities while consistently meeting deadlines.Â
- Strong written and oral communication skills.
- Excellent interpersonal skills with the ability to work collaboratively, take and implement feedback, and apply proactive problem solving.
- Strong knowledge of Microsoft Office suite of software (i.e. Word, Excel, Outlook).
- Relevant experience working with document management software, preferably NetDocs, and practice management software, preferably Soluno/Actionstep.
