Description
Job Description:
ATAC LAW is a growing litigation firm with approximately 25 lawyers and staff with offices in South Burnaby.
We are looking for an experienced Office & HR Manager to take ownership of the firm's human resources, law student recruitment and general office management functions.
This is a hands-on management role. We are looking for someone who understands professional services, exercises good judgment, is highly organized, and enjoys making an office run well.
You will work directly with the firm's Managing Partners and will have considerable autonomy within your areas of responsibility.
The ideal candidate is someone who loves taking care of others and getting things done.
What You Will Be Responsible For
Human Resources
You will own the firm's day-to-day HR function, including:
- Onboarding and offboarding lawyers and staff;
- Employment documentation and personnel records;
- Benefits, vacation, leaves and related administration;
- Coordinating performance reviews and following up on action items;
- Supporting the partners with compensation reviews and other personnel matters;
- Helping address workplace and employee issues as they arise;
- Maintaining practical HR policies and procedures;
- Coordinating training and professional development;
- Managing recruitment processes for lawyers and staff;
- owning ATAC's law student summer and articled student recruitment from beginning to end; and
- Making sure HR matters are handled promptly, consistently and professionally.
We are not looking to add unnecessary bureaucracy. The objective is to have clear, sensible processes that support our people and allow the firm to operate effectively.
Office Management
You will also be responsible for the practical day-to-day operation of the firm's offices, including:
- General office administration;
- Supporting and supervising administrative staff where appropriate;
- Facilities, supplies, equipment and office needs;
- Managing vendors and service providers;
- Office access, maintenance, furniture and moves;
- Coordinating firm events and internal activities;
- Helping maintain efficient administrative workflows;
- Identifying recurring operational problems and fixing them; and
- Making sure day-to-day administrative issues are actually dealt with.
This is a role for someone who is comfortable switching between people issues and practical office problems. One day may involve an employee matter, student interviews and onboarding a new lawyer; the next may involve resolving a vendor problem, organizing an office move and improving an administrative process.
Who We Are Looking For
Professional services experience is required.
Applicants must have meaningful experience working in a law firm, accounting firm, consulting firm or comparable professional services environment. Law firm experience is strongly preferred.
The successful candidate will ideally have:
- At least 5 years of relevant experience in office management, HR, people operations, law firm administration or a similar role;
- Experience working in a professional services environment;
- Experience handling confidential and sensitive employee matters;
- Experience with recruitment, onboarding and employee administration;
- Strong organizational and follow-through skills;
- Excellent written and verbal communication;
- Good judgment and discretion;
- The confidence to work directly with partners, lawyers and staff;
- The ability to deal with problems independently and carry matters through to completion; and
- A practical, service-oriented approach to supporting the people who work at the firm.
Experience with law student recruitment, legal recruitment, law firm administration or professional development will be a significant asset.
What Success Looks Like
We want this person to make the firm easier to operate and a better place to work.
Our people should know who to go to when they have an HR or administrative issue. New employees should be onboarded properly. Recruitment should be planned in advance. Our student program should consistently attract strong candidates and give them a reason to stay with the firm. Office problems should be dealt with without the Managing Partners having to manage every detail.
